The Challenge

Grassroots sport depends on volunteer officials, yet the process of appointing, managing and paying referees often relies on outdated systems.

Many leagues still coordinate appointments using:

  • WhatsApp groups
  • spreadsheets
  • emails
  • phone calls

This creates unnecessary administration, limited visibility and little accountability throughout the officiating process.

Find Me a Ref was created to modernise this experience by providing a single digital platform where leagues, clubs and referees could manage appointments, safeguarding, verification and payments from one connected system.

During our research, we also identified a significant gap within the market. Existing solutions were largely football-specific, relied on closed sales processes with no transparent pricing, and offered limited consideration for safeguarding younger officials.

The objective was to design and develop a scalable platform that could support multiple sports while creating a better experience for governing bodies, associations, clubs and referees alike.

Our Approach

Rather than developing a simple referee booking system, we designed a connected SaaS platform capable of supporting the complete officiating lifecycle.

From association management and fixture allocation through to safeguarding, verification and payments, every element was designed around reducing administration while improving transparency and operational efficiency.

The result is a scalable platform capable of supporting grassroots sport today while providing a foundation for future expansion across multiple sporting disciplines.

Multi-Tenant Platform Architecture

Intelligent Referee Management

A key objective was simplifying the process of appointing officials.

The platform includes intelligent referee matching based on location, allowing appointments to be made either manually or automatically depending on the needs of the competition.

Integrated payments through Stripe Connect ensure referees can be paid securely and efficiently, while supporting features such as Instant Payouts.

By combining appointments and payments into one workflow, the platform significantly reduces administrative effort for leagues and clubs.

Safeguarding Built Into the Platform

Safeguarding was treated as a core design principle rather than an additional feature.

Recognising that many grassroots officials begin refereeing from the age of 14, the platform includes processes specifically designed to support younger referees.

These include:

  • guardian consent workflows
  • structured verification processes
  • complete audit trails
  • secure identity management

Rather than relying on simple approval flags, the platform records who verified an official, what checks were completed and when they took place.

This provides far greater transparency for organisations responsible for safeguarding.

Building More Than a Website
